Privacy policy
Amana is a customer relationship manager run by Vereon Technology Ltd ("we", "us"). This page says what information Amana holds, why, who sees it, and what you can ask us to do with it. Last updated 12 October 2026.
Two kinds of information
Your account (the people who use Amana) is ours to look after: we decide how it's used to run the service, and we're the controller for it.
Your company's records (the people and organisations you sell to, your emails, calls, notes, deals and quotes) belong to your company. Your company is the controller and decides what goes in; we process it only to run Amana for you, under our terms, which include our data processing commitments.
What we hold
- Your account: your name, email address and job title, your sign-in (through Amazon Cognito; we never see your password), your role, and the settings you choose.
- Your company's records: the people, organisations, deals, tasks, notes, files, quotes and reports your company adds or imports.
- Connected mailboxes and calendars, when someone links one: the messages and events exchanged with the people in your records, and the access needed to send from the mailbox. Passwords and access tokens are encrypted at rest.
- Calls, texts and WhatsApp, when your company uses them: numbers, times, durations, the messages, and call recordings if your company switched recording on.
- Email tracking, when a sender turns it on for an email: when it was opened and which links were clicked.
- Service data: when people signed in, the pages they used, and errors, kept to run the service and keep it secure.
- Billing: your company's billing contact and subscription. Card details are held by Stripe, never by us.
Why we use it
- To run the service your company signed up for.
- To send, sync and log the email, calls, texts, WhatsApp messages and meetings your team asks it to.
- To send the notifications people opt into.
- To bill your company and to keep the service secure and working.
We don't sell information, we don't use it to advertise, and no AI model reads your company's records.
Who sees it
- The people in your company, according to the role your company gives them.
- The services Amana runs on, each only for its job: Amazon Web Services in London (hosting, files, sign-in, email, calls and texts), MongoDB Atlas in Ireland (the database), Stripe (payments), and Meta for WhatsApp messages. Google, Microsoft and other mail providers see what your team sends through their own mailboxes, as they would anyway. If your company connects other systems (Xero, HubSpot and so on), they receive what that connection sends.
- Nobody else, unless the law requires it.
How long we keep it
As long as your company's account is open. Deleting a record, a file or a person removes it; closing the account removes everything within 30 days, when backups roll over. Logs are kept for 14 days.
Your rights
You can see, correct, export or delete the information held about you. People in a company's records should ask that company first, since it decides what Amana holds about them; we'll help it answer. For anything else, write to engineering@vereon.tech. In the UK you can also complain to the Information Commissioner's Office.
